Executive Board Meeting

Suffolk County Library System

April 5th 2011

Members Present: R. Cognato, S. Spataro, S.Bedell, E. Lugo, L. Thomas, M. Koferl, R. Dressler, R. Marut, B. Baxter, J. Carhart.

Call to order by Robert Cognato at 10:08 a.m.
The April 5th minutes were approved on a motion by Belle Baxter and seconded by Rona Dressler.

President’s Report: Robert passed out the ear-buds for the Long Island Library Conference giveaway gift for the RASD table. All members were wished good fortune as the Library Budget Vote was on this day. The LILC table sign-up sheet was passed around and board members
filled out the appropriate time slots upon availability.

Robert also stated that Suffolk County Library Association has 796 members. The annual dinner is on November 18th 2011 and the place is yet to be determined. The submissions for the LDA award are being accepted and there is a push for programs throughout the association. The SCLA board will gladly refund  money spent on programs for the association.

Treasurer’s Report: Megan submitted a report that in February there was a Checking statement of $1,878.74. The amount in Savings was $170.93. In March a check was written to Jan-way for the ear-buds for the table giveaway gift. The current Checking balance is $1,589.52
and the Savings balance remains at $170.93.

The 400 ear-buds were purchased at $0.70 cents per item. Donations for the basket are still being accepted. The ear-buds were approved on a motion by Elma Lugo and seconded by Mary Koferl. The Treasure’s Report was approved on a motion by Rona Dressler and seconded by Elma Lugo.

Committee Reports

C.A.R.E.: L. Knel reported via email The CARE committee met on Wed., 3/30. Such topics that were discussed were design and content for the Career Web Page.  I will be submitting the attachment below to the SCLA Listserv. This will give you an idea of what we are doing.  Our next meeting will be held at Half Hollow Hills on Wed., June 1, 9:30 a.m. for coffee and at 10:00 a.m. the meeting starts.

Electronic Resources: E. Druda reported via email that the Electronic Resources committee met on March 9th at the Brentwood Library. There were 12 people in attendance. The discussion included such topics as QR codes, ebooks, and the new service from SCLS that allows
patrons to find their home library: www.sclsmap.info. The next meeting will be in June. The homework assignment is to create a QR code and bring it to the next meeting. The topic of discussion will be weeding and managing reference collections.

Health Concerns: R. Dressler reported that Health Concerns met on March 3rd and the topic for the breakfast will be substance addiction: how drugs affect the brain. One of the two speakers will be Dr. Steven L. Dewey from North Shore(LIJ) Health System. They are currently looking for another speaker. The breakfast date is set for October 19th and also making an annotated bibliography for further research.

Historian: No report.

L.I. History: M. Koferl reported that the Long Island History Committee met on Thursday February 24th. The guest speaker was Arthur S. Mattson who wrote the books; Water and Ice and History of Lynbrook. Mr. Mattson presented a harrowing story of how immigrants were treated on a passenger ship headed for New York which led to the changing of laws and procedures for passenger ships. Two sea disasters of the 1830’s had hundreds of immigrants die in a blizzard because of mishandling and selfish behavior on behalf of the sea captain and the tug boat company. There were 14 members in attendance for this presentation.

The next program will be on Thursday April 14th at SCLS from 10:00am to 12:00pm. The presenters will give a 15 minute talk about each program. It will be followed by a meeting with presenters and bookings. Those who are interested in attending this program may contact Mary via email: mkoferl@suffolk.lib.ny.us.  The plans for the upcoming annual fieldtrip are in progress.

L.I. Reads: D. Cunningham submitted a report via email that reported that the committee is wrapping up the last minute items for the LI Reads author events featuring Colson Whitehead, author of Sag Harbor, on Thursday, April 14. Libraries should have received their flyers, posters, coordinated orders (if any), notice of Programming Guide and Readers Guide. The last two are available at www.longislandreads.org Please let your patrons know about the events.

Again, this year seating is first-come, first-served at both venues (3:00 at Rogers Memorial and 7:30 at Plainview-Old Bethpage Public Library), no registration necessary. Books will be available for purchase from Book Revue at both events and Mr. Whitehead will be available for signing. There may be a few more posters and flyers at SCLS. Media: S. Spataro reported that the next Media meeting will be between the months of June and July. Approximately 25-30 people are expected to attend.

Membership: Currently according to the March list there are 379 members for Reference and Adult Services Division. The response to the appointment of Membership Chair was positive and encouraging. During the meeting, Robert asked for the board to
look over the interested candidates for Membership Chair and someone was selected. Her name is Joan Cook.

M.O.S.A.I.C.: Both E. Lugo and L. Thomas reported that the meeting on March 8th was well received and attended. The speaker was M.S. Iddings and 15 people were present at this meeting. The multicultural basket is accepting donations and going forward, the MOSAIC blog will hold the information such as the minutes from the meetings and future meeting times and locations. As desk schedules are sometimes difficult, the time slots are split between mornings and afternoons to accommodate participating members.

O.A.R.S: R. Marut reported for C. Miller that on March 16th there was a meeting at Longwood Public Library. The speaker was Valerie Lewis and the topic for discussion was talking books and the promotion for patron accessibility.

Programs: R. Marut reported that the joint program with Nassau RASD Graphic Novels: All Grown Up has been assigned to Emerald II Lower Level. The time slot will be Session II from 1:25pm-2:25pm. The speakers will be Mark Siegel, who is the author and Editorial Director of First Second Books and Gina Gagliano who is the Marketing Coordinator of First Second Books. The topics of discussion include best acquisition sources, where to locate graphic novels within the library and how to effectively “book-talk” them to adults.  A volunteer to take the head count is still needed.

Reader’s Advisory: G. O’Connor reported via email that The Reader’s Advisory blog has been updated with the genre International Fiction. Committee members are urged to observe and try it. It is “Google-friendly” and pleasant to look at.

The next meeting will be at Northport Library on April 28th for a discussion of True Crime.

Ramblings: R. Dressler asked for more articles as she has only received two from the board. The suggested date for submission will be April 13th. The new template is currently in progress.

Webpage: No report.

Member at Large: B. Baxter reported that she received the suggestions for the October 6th dinner. She is also working on the tax-exempt form for administrative purposes. For the Health Concerns Breakfast, she will use the same vendor as last year which is Baking Coach.

P.R. and Marketing: J. Carhart reported that the committee met on March 17th at SCLC to plan for the upcoming year. There were 16 people in attendance. Such topics of discussion included QR codes, writing for the local newspaper or Patch.com, large annual programs, poster stands, in-house marketing committees, book club parties, creating buttons for staff to wear during marketing campaigns, digital frames, photo release forms, and statements, and e-books.  The Lunch and Learn taking place on May 5th at the Crest Hollow Country Club was also discussed. There is also a possible joint meeting with the Nassau County Library Association PR Division. Tracy Simon in Nassau was contacted to see if that is something she would be interested in that responsibility. An option would be to co-sponsor a speaker and to request money for that as well. A date for the next meeting has not been finalized at this time.

J. Carhart was thanked by R. Cognato for this committee as libraries need to be promoted.

For the LILC the basket and the raffle were discussed and planned out. R. Marut will bring the RASD banner and for the table, golf pencils, tape, scissors, and chocolate snacks will be among the supplies needed for that day.  R. Cognato requested that the board meet early in the morning to take a group shot. He will send out an email reminder.

J. Carhart requested that there should be more resources for those who are unemployed. Such websites as LinkedIn were suggested by S. Spataro for free promotion and career marketing. E. Lugo suggested portfolio sites as www.playspent.com and www.weebly.com.

For the board elections next year, Robert wanted to promote RASD and have other candidates on the ballot instead of the “write-in-your-suggested-candidate.” The continuing mission will be to spread the word on what RASD is doing and why it matters.

E. Lugo requested and will receive the RASD logo from R. Dressler. The November 1st meeting at Elwood Library was confirmed and our next meeting will be at East Hampton Library on Tuesday June 7th.

There being no further business R. Cognato called for a motion to adjourn at 11:32a.m. which was approved by E. Lugo and seconded by M. Koferl.

Executive Board Meeting

Call to order by Robert Cognato at 10:05 a.m.

The Minutes of the January meeting were approved on a motion by E. Lugo and seconded by C. Miller.

President’s Report: Robert stated that the budget was approved with $400.00 added from last year. Stephanie Kyle will not be attending the dinner this year. Though the Lobby Day bus is filled, space will be offered for people who still want to attend. The Legislative Breakfast will be at Middle Country Public Library on September 16th, 2011.

There are 1,477 subscribers to the SCLA Newsletter. The idea of sending out a paper newsletter is being considered as it could bring more exposure. NYLA will possibly offer 10% discount for newly joining members from Suffolk County if they decide to join. This has not been finalized.

Treasurer’s Report: Megan reported that the December statement had a balance in Checking for $1,103.76 and $170.87 for Savings. The total cash at the beginning of the month was $1,274.63. The postage cost $47.52 paid to Robert Cognato. The Quarterly allotment was $427.00 for SCLA and the dividend was $.02 for SFCU. The total cash at the end of the month is $1,654.13 with $1,483.24 for Checking and $170.89 for Savings.

The January statement had a balance of $1,654.13 from the previous report. The Total Income had a balance of $397.52; there was a Program reimbursement of $397.50 from SCLA and a dividend of $.02 from SFCU. The Expenditures had $97.50 as a check was made out to Kathy Dempsey. The total cash at the end of the month was $1,954.15 with a Checking balance of $1,783.24 and $170.91 in Savings.

Committee Reports:

C.A.R.E.: Linda Knel submitted a report via email that the meetings will take place the last Wednesday of every month as Thursday meetings were difficult for members to attend. The next meeting will be held at Brentwood Public Library on March 30th at 2:30p.m. The CARE page will be redesigned at scla.net through word press with Terry working on the design. Upon completion, the website will have a list of career programs and the contact information will be posted on the SCLA listserv. Some ideas for the website include libraries with Career Counselors,
libraries with public fax machines and typewriters, those who have ILL study guides, social security and unemployment information.

Electronic Resources: Ellen Druda reported that 26 people showed interest in attending the meeting. The next meeting will be on Wednesday March 9th at Brentwood Public Library. There will a Co-Chair for the committee, Nick Saturno.

Health Concerns: Rona Dressler submitted a report via email that the rescheduled meeting will take place on March 3rd because of the snowstorm at the St. Paul’s School in Patchogue.

Historian: Catherine Nashak reported that she received more minutes from Rona Dressler. There is a possibility that an archival box will be used to store the minutes in the future. It was approved by the board members that the Historian will hold the RASD minutes at his/her home library.

L.I. History: Mary Koferl submitted a report via email that the next meeting will take place at SCLS on Thursday February 24th, 2011. The speaker will be Arthur S. Mattson and his book is “Water and Ice.” The book tells a true story of immigrants and how they were treated with cruelty. “Water and Ice” is a true story of Long Island, New York City, Ireland, and England. It also tells how immigrants were treated less than cargo in the 1830’s.

The second program will take place on Thursday April 14th. The committee is working on arranging a showcase for performers on the above date at SCLS. The showcase will start at 10:00a.m.and finish at 12:00p.m. Anyone interested in recommending local history performers
or speakers who would be interested in appearing at this showcase should contact Mary Koferl at mkoferl@suffolk.lib.ny.us or call 631-273-7883 ext. 309.

L.I. Reads: Deborah Cunningham reported via email that the committee met on February 15th at Bellmore Memorial Public Library. On February 8th in Nassau the workshop was held by Lee Fertitta at NLS was well attended. The book discussion questions will be added to the Reader’s Guide and available on the website. The Suffolk workshops facilitated by Duncan Smith will be on February 28th at SCLS from 10-12 and 2-4. The contact email for signing up is Samantha@suffolk.lib.ny.us for registration. The Reader’s Guide has been completed and will be available on the website: www.longislandreads.org. The Program Guide is also there. Click on “This Year’s Book” and scroll down to the bottom of the page. Coordinated order items have arrived at SCLS; they are being sorted and sent out with LI Reads stickers. Posters and flyers are in the works
and should be finished within a week.

Newsday contacted Elizabeth Olesh at NLS about a piece on book clubs/discussions and she pushed LI Reads. There will be no tickets and sign ups this year. Entry to the events will be first-come first serve. Both venues have more than enough seating. The events will take place at
Rogers Memorial Library at 3pm and at 7:30pm at Plainview-Old Bethpage Public Libraries. Any questions, please contact Deborah Cunningham at Harborfields Public Library. The phone number is 631-757-4200.

Media: Steven Spataro reported that the meeting took place on February 16th at SCLS Auditorium. It was well received and attended with 25 people. The Power Point discussion covered topics such as e-books, e-readers, Kindle book software, and mobybokz.com. The CD-Rom wasn’t a popular subject in the discussion; it has not been circulated or used much at libraries. The battle of DVD Rental vs. Retail was addressed and VHS tapes are always needed for donations. Suffolk County Nursing Homes and the East Hampton Senior Center are graciously accepting VHS tapes year-round.

Membership: Presently there are 373 members for Reference and Adult Services Division. This was due to members signing up for the SCLA membership. R. Cognato proposed and was approved by board members for an email to be sent out through the SCLA listserv
for a Membership Chair. S. Bedell will keep updating the RASD Facebook page which currently has 113 fans.

MOSAIC: Lissetty Thomas and Elma Lugo reported that on Tuesday March 8th there will be a special meeting. Mary Iddings of OCLC will be a guest speaker and the topic of discussion will be language collection development. This will take place at SCLS at 10am. Coffee will be served at 9:30am.

On January 11th the Open House was very successful. The discussion mainly focused on how to become more involved in the Hispanic Community. The outcome was very positive and Beth Donovan spoke about the topic, Libraries: A Family Affair.

OARS: Cindy Miller reported that on Wednesday February 16th a representative from Suffolk Independent Living Organization, Kathleen Madigan spoke about making people independent in the community. This program SILO was initiated to educate, empower and promote advocacy for those with disabilities. C. Miller also handed out folders to RASD board members to spread the word about this organization. The next meeting for OARS will take place at Longwood Public Library on March 16th.

Programs: Rose Marut reported that the joint RASD program, Graphic Novels: All Grown Up is scheduled for the Long Island Library Conference at the Crest Hollow Country Club. The LILC committee just confirmed that our program has been accepted and set for the second slot from 1:25pm-2:25pm. LILC will notify the Programs committee as soon as all the room assignments are completed. Rose will keep us all posted.

Reader’s Advisory: Grace O’Connor reported that there was a February 3rd meeting at West Islip Library. The topic for discussion was Political Fiction. The RASD Reader’s Advisory Blog is also searchable through this link: http://rasdreadersadvisory.blogspot.com/
G. O’Connor was very appreciative of how loyal the committee members are. The next meeting will be on April 28th at East Northport Library.

Ramblings: R. Dressler reported via email that Ramblings was sent out in the beginning of February. If you have not received the issue, please let Rona know.

Webpage: Jason Ladick sent out this email recently:

“With the recent changes made to the server, several features on the redesigned website have stopped working (most notably the calendar feed).  I figured it would be good time for me to update the site again with WordPress.  It will make it easier for me to make changes
as they come in (and hopefully post the minutes if you want).  I’ll be sure to keep everyone in the loop and have you and Brian Adams sign off on it when I’m complete.  Let me know if you have any questions!

P.S-I have been unable to attend the monthly meetings due to an ongoing conflict in my schedule.  Tuesday morning is the one day a week I work at Northport.” Jason Ladick

Member at Large: Belle Baxter will continue to take suggestions from the board with the location for the RASD dinner. The price per person was approved at $40-45. The date for the dinner was agreed to be set on October 16th; it has not been finalized. There will be door prizes, lists of vendors along with gift cards for possible prizes.

PR and Marketing: Jo-Ann Carhart reported that she received the paperwork for the Lunch and Learn. The next meeting is scheduled for March 17th at SCLS. At this meeting she will ask for more volunteers to speak. So far S. Bedell, C. Nashak and E. Druda were appointed to speak at Lunch and Learn about the different tools of Facebook accounts.

There were discussions about the giveaway gift for the Long Island Library Conference. Such ideas as labels and ear buds are possible for giveaways. Robert will go forward with the flashdrives and order about 400. S. Spataro submitted an email for special deals on www.crestline.com.  M. Sala-James will be in charge of the basket. The theme will be “Cozy Up With a Graphic Novel.” The budget cutoff will be $75.00. If anyone wishes to donate to the basket either bring your donation to the April meeting or send it to Megan.

January 4th, 2011

Members Present: R. Cognato, S. Spataro, S. Bedell, Jo-Ann Carhart, E. Lugo, L. Thomas, C. Miller, M. Sala-James, C. Nashak, R. Marut, R. Dressler, and E. Druda.

Call to order by Robert Cognato at 10:05 a.m.

Robert welcomed the new and returning committee members and wished everyone a Happy New Year.

Minutes of the December meeting were approved on a motion by R. Dressler and seconded by C. Miller.

President’s Report: Robert announced that the SCLA meeting in December was very productive and there is much support for new programs. In addition, the SCLA newsletter might be submitted via physical mail in the future. There are 1,475 current members for SCLA at this present time. Over 700 membership renewals were sent out and still pending. There was a discussion for a possible Paypal option for faster payments in the future.

Robert also discussed with the board members that new programs are encouraged by SCLA. If money is needed for new programs, please ask them ahead of time so the funds can be allocated. A check was approved for $397.50. The $300.00 covered the speaker cost and the $97.50 was for the travel cost. The amount was for the PR Committee. The next SCLA meeting will be on Friday January 21st at SCLS. The Civil Service Workshop will take place on January 18th at Brentwood Public Library. Lobby Day will take place on March 1st and our Annual Breakfast will be on September 16th 2011.

Committee Reports:

CARE: Linda Knel reported via email stating that the CARE meeting will take place on Thursday January 6th, 2011.  The topic for discussion will be offering more resources and help to unemployed
patrons. The results of the meeting will be submitted to Robert via email. Here is the report from Linda Knel:

On January 6th, CARE met at the MMSH Community Library. The following people attended: Kitty Grinnell, Amanda Harnos, Xibe Solis, Edna Susman, Tery Lucus, Nancy Zulkofski, Susan Altman, Serena Brooks, Martha Kahn, and Linda Knel.

Summary:

Some committee members found it difficult to attend meetings on Thursdays, A.M/

It was decided that we would meet the last Wed. of each month.  Also, we would rotate meetings from a.m. and p.m. The next meeting will be held at Brentwood on March 30th at 2:30 p.m. We will be redesigning the CARE page at scla.net through wordpress. Terry will be working on the design. The web page is going to be informational with some web sites.

It was agreed that everybody would send a list of their career programs and the contact information. When completed, this list will be placed on the SCLA listserv.  This will ensure that libraries have the information, even if our web page is not yet up. Some of the things we spoke about placing on the web page included: libraries with Career Counselors, libraries with public fax machine and typewriters, those libraries that ILL study guides, social security and unemployment information…

This is just a preliminary list. Please send me all this information in a word document and I will put it together and send it to Terry. For those unable to attend our last meeting, we missed you!

Electronic Resources: E. Druda sent out a submission list for those interested in joining Electronic Resources. She received a favorable response and is ready to initiate more programs in 2011. She will send out a reminder email in mid-January for those who have not made their decision. She was thanked by the committee members for assuming responsibility for Electronic Resources.

Health Concerns: R. Dressler reported that on January 27th 2011, Health Concerns will meet at the St. Paul’s School on Rider Avenue. Due to space concerns from the renovation at Patchogue-Medford Library, most of the programs have been moved to St. Paul’s School. The annual meeting for Health Concerns will take place on October 19th at SCLS. If one needs to reserve a room at SCLS, please call ahead to assure the proper accommodations.

Historian: C. Nashak presented a bag of minutes and ephemera from SCLS for RASD. She is processing what is relevant for preservation and what to discard. She has the minutes from the years 2002-2004 and 2005-2007. She asked the board if anyone could give her any minutes from 2008 and 2009. She did receive minutes from 2009 from R. Dressler. The minutes from 1983 are still missing.

Robert made a suggestion that was approved by the board to preserve the RASD minutes offsite to prevent losing them in the future during SCLS cleanout. If anyone has any old minutes, please give them to C. Nashak.

L.I. History: No report.

L.I. Reads: D. Cunningham submitted a report via email that if the committee is not physically represented during the RASD meetings, it will be reported via email.

Media: S. Spataro reported that the next meeting will be in February 2011. The location and exact date are to be determined. The topics to be covered are E-readers, Blu-Ray, downloads, Live-rary.com and the pan-digital kobo.

Membership: S. Bedell confirmed that there are 350 members for Reference and Adult Services Division. The Facebook page has 111 fans at the moment. A new Membership person has yet to be appointed. Sara was called upon to send out an email and help find someone who will take over the position.

MOSAIC: E. Lugo and L. Thomas reported that the Open House will take place on Tuesday January 11th 2011 at SCLS. The topic to be discussed is Libraries: A Family Affair.  At least 30 people are
expected to arrive for this event.

OARS: C. Miller reported that the December meeting with Fran Altamose took place at Sachem Library. The next meeting will be on January 12th at Central Islip Library. The agenda will be to look ahead and plan out for 2011.

Programs: R. Marut reported the LILC committee has approved the joint Nassau/Suffolk RASD program Graphic Novels: All Grown Up. The next meeting will take place in January in and the location and date are to be determined.

Reader’s Advisory: C. Nashak informed the board for G. O’Connor that the next meeting will take place at East Northport Library on January 27th 2011. The topic will be Political Novels.

Ramblings: R. Dressler reported that the January issue was sent out. The next issue will be due at the end of February. The board was asked to please send a short paragraph reporting what is happening at your home or work library.

Webpage: Robert
notified the board that there is a test site for the new webpage. The test site is http://scla.net/rasdtest.  R.C. will be keeping track of progress and report for each meeting if J. Ladick does not attend the next meeting.

Member at Large: Any suggestions for the next RASD dinner should be sent to Belle Baxter via email.  She is currently looking for a location further east on the North Shore.

PR and Marketing: Jo-Ann Carhart reported that the paperwork for Lunch and Learn has to be filled out. The committee is looking into Social Networking and practical ideas for the next discussion at LILC.

The Executive Board sheet was passed around for the Snow Chain. Robert reminded the board that if the weather conditions are hazardous, he will email the board and cancel the scheduled meeting. He also asked the board to seek out new candidates for the upcoming election ahead of time.  If anyone is aware of any eligible candidates, please forward the information to him via email.

There was a discussion about the LILC basket giveaway. The theme for 2011 is “Togetherness.” Such devices as thumb drives, mechanical pencils and ear buds are possibilities for the basket. S. Spataro was called upon to look online for special deals on products.
