ANNOUNCEMENTS: Brian Schwartz reported.
If you want to support the ALA/NYS sustainability resolution, they are looking for people to email Rebecca Alridge-Smith.
PRESIDENT’S REPORT: Brian Schwartz reported.
Brian would like to come up with new ways to raise money. He would like each committee to raise their prices of individual memberships and events. Perhaps it can be a $10 difference across the board. He would like to see if attendance increases.
There is a schedule problem with luncheons. They are usually around the same time of year for each committee. Is it possible for next year to move them to different times of the year so people have the opportunity to attend more? He would like to move the SCLA dinner date because it is so close to NYLA. The month of October was mentioned and perhaps a Halloween costume party.
He would like to have a program with different library directors and have a panel for Q&A on job interview questions.
Brian would like the next networking event to be a trivia night.
TREASURER’S REPORT: Elaine Perez reported.
Galina provided the reimbursement requests ending December 31, 2018. For the SCLA dinner, the aquarium had to refund some of the costs because we overpaid by $1416.00.
For the LILC, there has been one payment of $2000 and also another payment made that is not reflected that was made in January 2019 of $2000.
If someone hasn’t received money for anything, please let Elaine know.

COMMITTEE REPORTS:
ANNUAL DINNER: Lissetty Thomas reported.
They are started to think of places again, with the Long Island Aquarium being the top place again this year.
ARCHIVES: No report.
CIVIL SERVICE: Kristen Todd-Wurm reported via email.
CLASC, Inc. has reached out to me and asked if we would be interested in doing joint programming regarding “doing well on multiple choice tests”. Many librarians are reporting that they are “just not good test takers” and they are looking for a presenter that may be able to do some test taking strategies. The reviews from civil service are great but they don’t really deal with test taking. CLASC, Inc. would like to propose this idea for this year so that it would be given before the Librarian 2 examination in the Fall of 2019.
COMMUNITY SERVICE: Brian Schwartz reported.
Brian is looking for someone to fill this position if anyone is interested.

LDA AWARD: Paula Bornstein reported via email.
I was in e-mail contact with Maryanne Linehan and Catherine Barretta, to give them information about the various dates and deadlines for the award.
I will update it and email to the NCLA co-chairs before having 2,000 copies printed. I will need a set of mailing labels by February 1st in order to send out the brochures through the SCLS mail system.
LEGISLATIVE: Samantha Alberts reported.
Governor Cuomo eliminated last year’s legislative “adds” in his proposed budget. This is not unexpected but makes it clear that we need to have a strong showing at Advocacy Day. The proposed State Library Aid is $91.6M ($5M less than last year). The proposed Public Library Construction Aid is $14M ($20M less than last year). The budget contained no money to support the Census and the efforts for an accurate count.
Advocacy Day is February 27, 2019. There is still spots on both buses.
Advocacy Day 101 sessions are 2/12/19 at 10AM and 2/14/19 at 2PM.

The RASD board discussed the possibility of starting a Seed Library RoundTable. Since many libraries now have Seed Library’s available for their patrons, they want to get together and share ideas on how to make it better and for those interested how to start one. They are at the beginning stages of collecting names and getting an email list together of librarians who manage a seed library in their library. Share ideas, answer questions. Possible date for RoundTable would be sometime in March at MCPL. Contact Amber Gagliardi if interested. gagliardiamber@mcplibrary.org

COMMITTEE REPORTS:
ANNUAL DINNER: Lissetty Thomas reported.
She spoke to the Long Island Aquarium and is working on pricing for 2 dates in October. It will either be October 17 or October 24, both are Thursdays. They are willing to give the same price as last year because of the weather issue we had. Lissetty is also looking into pricing for a sit down dinner as well as the buffet. NYLA Council met on Thursday January 31st at the NYLA office in Guilderland, NY. The Council gathered at 10:00 AM for a training on ‘Creating a Diverse, Inclusive and Welcoming Environment’, delivered by Kathleen McClean of the McClean Group. Afterwards, there was a discussion that surrounded adopting ALA’s Code of Ethics based on an incident that occurred at the 2018 NYLA Annual Conference. There was robust discussion about how to better the NYLA Conference experience for all members, making everyone feel safe, included, and valued. NYLA had previously adopted the ALA Code of Ethics in 2002. It was determined that NYLA should take the time necessary to develop its own Conference of Conduct, for implementation prior to the 2019 Conference.
At their Midwinter Conference, ALA passed a resolution on monetary library fines as a form of social inequity. Although NYLA is aware that the necessity of library fines differs from library to library across the state, the Council approved a motion to endorse the ALA resolution on monetary library fines as a form of social inequity in its entirety.
MEMBERS AT LARGE:
Angela Breslin: She will be attending the NYLA curators meeting on March 5. She is looking through proposed speakers. Brian said we need to discuss how many programs we want to sponsor. Angela needs financials before she goes so she has an idea of what to discuss. Please ask if the speakers are looking for reimbursements. We need a set budget for hotel, etc.
Motion to not exceed $1000 on costs for speaker reimbursements. All in favor. Nobody opposed.

OLD BUSINESS: Brian Schwartz said we are not voting on logos today but we will wait until the next meeting or make a poll online to vote. There will be 3 choices. Will need a new table cover and banner for LILC if we use new logo.
NEW BUSINESS: Ellen will be in charge of the giveaways for LILC. Please bring ideas to the next meeting to vote on.

CALL TO ORDER: Brian Schwartz called the meeting to order at 10:00 am. The February 2019 minutes were reviewed. Elaine Perez motioned to approved. Kristen Todd-Wurm seconded.
ANNOUNCEMENTS: Brian Schwartz said that the “Landing the Job” program sign-up has started.
Brian would like everyone to be aware that the membership is current for divisions, especially if you are on the board/position of power. Mike Firestone said there is a delay at NYLA for processing some memberships so it may not show some current members.
Brian went to the LILC meeting. You can join the committee if you’d like. People are signing up as members but they are not and that is causing a huge problem. It is making SCLA lose a lot of money. NYLA feels that they won’t help due to the fact that signing up is based on the honor system. We may need to send letters to libraries to check membership rates/who is a SCLA member.
In the future, maybe the member will need to use their SCLA login to register for the LILC. We need to figure out the best way to solve this issue.
Roger Reyes attended our SCLA meeting to discuss membership. He is currently working with Lois Powell at NYLA to fix this issue. Roger showed a document he created for memberships and libraries.
Some issues are that some libraries have a NYLA membership but not SCLA, so staff may not know if they have an SCLA membership or not.
The question came up asking if we can pro-rate memberships and have a January-December membership standard instead of all over the place.
PRESIDENT’S REPORT: No report.
TREASURER’S REPORT: Elaine Perez reported.

We had our board meeting on Wednesday, March 13th. We have our upcoming iCreate Tour, which is a tour of Stony Brook University’s makerspaces, VR system and more on Wednesday, April 17th at 10:00 a.m. This year we will also be doing an interactive activity with Stony Brook staff. The program is free to attend, attendees will be responsible for the $3 per hour parking fee. Our fliers will be going out on the listserv and in the system bags this upcoming Monday. Those interested can sign-up via the google link that’s provided on the flier.
We’ve also started to plan another program, a Technology Petting Zoo, which will be taking place on Thursday, October 3rd, 2019 in the auditorium of SCLS at 10:30 a.m. We are in the process of working out the details but the goal is to have librarians from both Nassau and Suffolk libraries sign-up to become “vendors” and bring in their digital devices like: 3D printers, mobile hotspots, VR headsets, drones, coding kits, etc. We want this to be like a show and tell expo of all STEAM and STEM technology. We will encourage vendors to not only bring their devices but to also explain how they use their technology for library programs. Aurora from system will also be a vendor demonstrating the SCLS Lending Library. More details to come.
TIF had their last meeting on March 7th at Connetquot Public Library. 18 people attended the meeting, which was live-streamed on Facebook. They had a guest from Stony Brook speak about SnappyXO robotics software, followed by their technology roundtable. LONG ISLAND LIBRARY CONFERENCE: Brian Adams reported.
The committee last met this past Tuesday, March 12th at the Longwood Public Library.
We are thankful that the SCLA President, Brian Schwartz attended, and added much to the decision about the member vs non-membership registration problem.
We currently have about 59 ½ tables sold, out of the 64 -66 available spots.
We also currently have about 474 attendees registered. (The goal for this year is 600).
We have about 6 corporate sponsors, so far, with a few more in their decision making stage. We have a few ads sold.
Once again this year we have a huge number of registrants using their supposed membership in SCLA to get the discounted rate. We are talking over 100, costing the LILC hundreds and hundreds of dollars.
With the help of Brian Schwartz an agreement has been made to send letters out (from SCLA) to both the libraries and the individuals who have registered “incorrectly”.
These letters will serve notice to the libraries that they have been registering their employees incorrectly, and will need to adjust their payments. For individuals, the letter will serve as notice to adjust their payment to the LILC and/or join SCLA.
It is the opinion of the LILC that these letters should begin to be sent immediately. I will provide the SCLA Membership Chair with the list after checking it against the SCLA (NYLA) Membership rolls.
Most of the discrepancies seem to stem from the “Institutional Membership” category that some libraries take advantage of.
It was my understanding, that years ago, the Board of SCLA discussed, and voted down the creation of an Institutional Membership for SCLA.
This Institutional membership has not gained us additional membership and it has also reduced the amount of funds we receive from this category.
I believe this should be addresses by this Board, and perhaps eliminated completely.
We will share copies of the SCLA letters with NCLA, so that they may 1)be informed and 2) perhaps adopt the same methodology in correcting these “mistakes” with their membership.
Now, we hope that this will relieve the problem for this year, and perhaps, with other measures to be discussed, for future years as well.
Now as for how NYLA will deal with this? My educated guess is not well at all. After today’s meeting the LILC hopes to have the SCLA President email Jeremy Johannsson and explain what we are doing and why.
He (Jeremy) will have to deal with Galina, and hope that there is some way she will be able to handle this.
[There were 5 people who erroneously (NYLA) registered under the discounted member rate and put down NYLA as their Membership category. We brought this Jeremy’s attention, asking him how to fix this.
His answer? NYLA will give us LILC a credit discount of 100 dollars off the NYLA fees that they charge us. Wait until they see what’s going to happen now!
Other suggestions:
Have just one rate for everyone at the conference.
Have all SCLA Members log in to their “accounts” to register for the Conference. All registered SCLA members have a log-in correct?

The last Health Concerns committee meeting was on Tuesday, May 21st. The committee is organizing their annual breakfast, which they would like to move from November to October. The topic for the breakfast will be something related to LGBT health. Their sponsored program at the Long Island Library Conference went well. 40 people attended and Sal Filosa received really positive feedback.
There were nine presenters at the Long Island History committee’s annual showcase back in April. It was a great turnout and the committee is building on its membership. The next meeting will be on Thursday, June 27th at the Suffolk County Historical Society from 10:00AM to 12:00PM.
The next New Adult committee meeting will be on Monday, June 17th at SCLS. The Fandom Outreach Committee of SCLA will be joining us to give a presentation about how to host comic cons in your library. The meeting will begin at 10:00 a.m. with 9:30 a.m. for coffee.

We are currently looking for libraries to sign up as “exhibitors”. For this event, we are asking libraries to apply to have a table to not only feature the tech they love, but also the programming that they do with it and any handouts that would accompany the program so that we can share the wealth when it comes to STEM/STEAM.
To sign-up to run a table, please go to http://bit.ly/TechPetZoo or email me at nparisi@communitylibrary.org.

YASD: Michele Cayea reported.
YASD had a successful raffle and information table at the annual Long Island Library Conference. Our Suffolk members helped support NCLA YASD’s programs- Audiobooks: Bridging the Gap, and Libraries Lighting the Way for Teen Volunteers.
During lunch we were honored to present the B.E.S.T award to a very deserving teen, Lauren Prete from the Connetquot Public Library. Lauren exemplifies the type of teenager that has a love of the public library. She volunteers her time, while going to school and battling debilitating illnesses, always with a smile and a kind heart.
YASD is taking June, July and August off to allow our members to focus on promotion, preparation and all the craziness that is Summer Reading!
On Thursday, September 19th from 10AM- 12PM here at SCLS we will be partnering with the New Adult Committee to host a breakfast where we will be discussing how we can bridge the gap between the two departments in hopes of encouraging avid teen library users to keep using the library after high school.

The Conference committee met this past Tuesday June 11 at the Bethpage Public Library.
The Conference was held on May 13th. Over 600 people registered.

Collections of outstanding payments are still proceeding. As of this date two libraries, with many registrants, have not yet paid! We also have three vendors who have not yet paid. One we are suspecting will not be paying.
We are changing the way Early Bird Sign-ups are billed.

We are now accepting applications for SCLA’s scholarship and the Continuing Education Award. Information and printable applications are up on the website and will be shared via the listserv, social media and outreach to library science programs and related organizations. Those interested in either award can also contact me directly for information and applications.
In addition to the vote last meeting to remove the 3 month membership requirement, I made a number of updates to both the informational flyers and the applications for the purposes of clarity. It also came to my attention that the Continuing Education Award application was identical to the Scholarship application so changes were needed to make the application more appropriate for the applicants who would be filling it out.
Last year we had 8 applicants for the scholarship, but only one applicant for the Continuing Education Award who was ineligible, therefore we could not award it to anyone. This is not the first year this has happened, so please encourage others to apply! I would also welcome any ideas and suggestions for better advertising the Award.

NYLA: Todd Schlitt reported via email.
In 2013 NYLA made an important shift in how the organization was staffed with the creation of a new position: Director of Government Relations & Advocacy. Since its inception, Mike Neppl has filled the role, and elevated how NYLA has approached and implemented library advocacy in New York State. The interceding years have seen record levels of funding for library operating aid, and support for the library construction aid program has more than double, with much of these successes attributable to Mike’s efforts.
On July 31, 2019, Mike is leaving NYLA to pursue other opportunities in the advancement of the public good. The NYLA Council extends their collective thanks to Mike for his years of dedicated service to the organization, its mission and all libraries.
I will update the SCLA Board on the NYLA August meeting in September.

Acting Director David Jank, was thrilled that the collaboration happened seamlessly and looks forward to working with the committee on future events. The Committee spoke about the benefits of joining SCLA as a student and how getting involved can lead to networking, mentors and even job opportunities. Colleen and Linda touched on civil service, libraries that hire Librarian Trainee’s, working in children’s and teen services, and how to build your resume while you are still in school. The Student Outreach Committee will be attending a career night in the Spring and look forward to working more closely with the Palmer School. Colleen and Linda will become mentors for the Palmer School’s Master’s program students. If you are interested in becoming a mentor for Library students at the Palmer School please email cnavins@smithlib.org for more information.
A few Palmer students were interested in taking on a student role in SCLA committees. We wanted to throw the idea out to the board to see if anyone was interested in having a student liaison for their committee. The student could possibly make fliers, clean up files, organize and help with events. Let me know if this could become a possibility.

We are very actively seeking program proposals for the conference. The deadline is December 31st, so please try to submit a proposal.
Association will be invited to apply for a table beginning in January. Because space is so very limited, not all groups may get a table, or may only get a half table. We are trying to fit as many Association tables as we can in the upstairs area of the Marriott.
Early bird Attendee begins on January 1st, 2020. We have asked Jeremy to create a button for SCLA members to have to Log In to register. G-d help us all.
The Membership Chair this year will have to be at the ready to field calls for members who are not really members. May we put their phone number/email address on the website?
Corporate membership has really affected the way Registration is run. Please can we end Corporate Membership? It is costing us $$ on the Conference.
We also asked Jeremy for help in the Early Bird Payment Dilemma. If NYLA can’t help us we are considering getting rid of Early Bird rates.
We meet next at the Mellville Marriott on Tuesday, January 21st, 2020 for our walk thru meeting. BYOL, all are invited to attend, just please let me know at adamsbster @gmail.com.

NEW BUSINESS: NYLA has a new proposal. They would like to have one flat-rate organization membership, instead of a stand-alone SCLA membership. You would have to be a membership of NYLA to be a member of SCLA.
