CALL TO ORDER: Joanne Albano called the meeting to order at 10:02 a.m. The December 16, 2011 minutes were reviewed and corrected. Celia Vollmer moved to accept the minutes as corrected. Regina McEneaney seconded the motion. None were opposed.

TREASURERS REPORT – ANNUAL BUDGET: Celia Vollmer presented the proposed 2012 SCLA Annual Budget. Celia reported that Tom Gorman, Lisa Kropp and Tracy Van Dyne met to discuss ways in which the Association could reduce costs and stay within budgeted line item limits. Keeping printing costs down was emphasized. It was agreed that centralizing the print process by using Marsha Greenspan (Brentwood) for all Association print jobs would accomplish this goal. Consolidation of purchasing for the Fall Dinner, funding for Divisional and committee programming, and the Long Island Library Conference were also discussed. Following the discussion, a motion was made by Tom Gorman, to accept the 2012 Annual Budget as presented.  The motion was seconded by Laura Panter. The vote to accept the budget was unanimous. Celia reminded everyone that all tax forms should be forwarded to the treasurer. Missing bank statements from divisions were discussed and all were reminded that all division treasurer reports should be linked to the month of the corresponding bank statement. All statements must be sent to Celia for accounting purposes.

PRESIDENT’S REPORT: President Lisa Kropp welcomed everyone and reported that she is excited to be working with the Board this year.

DIVISION REPORTS:

DASL:  No Report.

RASD: Steven Spataro reported that at its first meeting on January 3rd, RASD looked at goals for the upcoming year. The next RASD meeting is scheduled for February 7, 2012.

CATS:  No Report.

SSD: Teri Hatred reported that at the January 18 meeting, a speaker for the Long Island Library Conference was discussed. The next SSD meeting will be February 8, 2012.

YASD: Jamie Papandrea reported that the first meeting of the year focused on teens and substance abuse. The meeting was held at Mastics-Moriches-Shirley on January 18. The next meeting, to be held at South Huntington Public Library on February 17, will be a joint meeting with Nassau county featuring author Gail Foreman.

COMMITTEE REPORTS:

ANNUAL DINNER: Brian Schwartz reported that the committee is open to suggestions for a location for the 2012 dinner. Returning to the Irish Coffee Pub was discussed.

ARCHIVES: Michael Bogin read a report from Beth Gates. Beth reported that the archives are up to date and that if anyone had documents from 2011 to add, to please send them to her at Rogers Memorial.

CIVIL SERVICE: Celia Vollmer reported. There is discussion of a possible Director/Assistant Director round table workshop.

COMMUNITY SERVICE:No Report.

CONTINUING EDUCATION: No Report.

ELSA:  No report.

I-CON: No report.

INTELLECTUAL FREEDOM: Kevin McCoy reported concerning the SOPA and PIPA bills. Kevin also reported on the “Research Works Act” a bill, which according to Kevin, would result in the removal of federally funded research results from the public domain. Intellectual Freedom is co-sponsoring a Long Island Library Conference workshop with NCLA’s Intellectual Freedom Committee entitled, “Protecting Privacy in a World of Mobile Apps and Social Networks.”  The next committee meeting is scheduled for February 10. Kevin reports that the committee is always looking for volunteers – if interested in serving, please contact Kevin McCoy at mccoykj@sunysuffolk.edu

LDA AWARD: Paula Bornstein reported that brochures were going out in the System bag next week. Applications should be submitted by March 23, 2012.

LEGISLATIVE: Samantha Alberts reported. The North Fork Bus Company will be used for the trip to Albany on March 6, 2012 for Advocacy Day. Kevin Verbesey will again host Lobby Day 101 classes. Classes will be offered on February 28, 2012 at 10:00 AM and on March 1, 2012 at 2:00PM. A Bus form is on the website – 30 people are already signed up. The Governor’s proposed budget keeps state funding at $79 Million.

LIST-SERV: Kevin McCoy reported that membership has decreased in the past few months. We currently have 1445 people subscribed to the list.

LONG ISLAND LIBRARY CONFERENCE: Ginger Pfeifer reported that a meeting was held on January 19 at the Marriot.  Vendor registrations are coming in on a level on par with 2011.  Registration volunteers are lined up but they are looking for room monitors for the conference. Save the date e-mails will be sent shortly. The program slate is finalized. Room arrangements were discussed. They are working on signage for clarity.

MEMBERSHIP: Regina McEneaney reported that there are currently 714 active SCLA members. 297 have already renewed for 2012.  Regina is distributing Division membership lists. As a reminder, please check that current Board members have renewed for 2012 and are active members.

NEWSLETTER: No Report.

NOMINATING: No Report.

SCHOLARSHIP: Celia Vollmer reported that Angela Richards sent her all relevant information and that she would be setting up a committee meeting soon.

STATISTICAL SURVEY: Michael Bogin read a report from Rona Dressler. Rona reported that Statistical survey questionnaire will be sent out after the Long Island Library Conference in May.

STUDENT OUTREACH: No Report.

SUFFOLK COUNTY JAILS LIBRARY SERVICE: No Report.

WEB PAGE: Michelle Vagner reported. Michelle demonstrated the new blog format based site. This site will be easier for multiple people to edit and is free to use. Michelle reminds everyone to make sure that scheduled meeting dates are added to the calendar in order to avoid conflicts.

LIAISONS:

CLASC: Michael Bogin read a report from Kristen Todd-Wurm. Kristen reports that CLASC will be hosting its annual dinner at the Three Village Inn on Thursday, April 26th, with Guest speaker, Rosemary Wood. Registration information will be sent out in the beginning of February. CLASC is in the process of converting its old website to a more user friendly, interactive blog format, which should be unveiled within the next few weeks.

LILRC: Min Liu reported that LILRC is offering technology training and vendor demos in January and February. Digitization training will be offered on February 28 at Plainview-Old Bethpage Public Library. Complete program information can be found on the LILRC website.

NCLA: Lisa Kropp reported that she and Tracy Van Dyne will meet with Nassau reps in order to set up rotating liaison coverage for NCLA meetings.

PLDA:  No Report.

SCLS: Samantha Alberts reported that a “Professional Development” hour criterion was discussed. NY State Department of Education has clear criteria for qualifying CE credit.

MEMBERS AT LARGE: Tom Gorman reported that he reviewed the proposed 2012 annual budget.

TREASURER’S REPORT: Celia Vollmer reported. Bills to be paid in January were presented:

PRESIDENT’S REPORT: President Lisa Kropp spoke with Michael Borges (NYLA) to discuss member discounts for SCLA. Jeremy Johansson will meet with Celia, Tom and Lisa to discuss membership options.

DIVISION REPORTS:

DASL: No Report.

RASD: Michael Bogin read a report from Steven Spataro. RASD held a meeting at SCLS on February 7, 2012. The Board discussed possible giveaway prizes for the RASD table at the conference. We spoke about creating a list of local history librarians and the scope of the local history collections at our Suffolk County Libraries. We discussed Lobby Day March 6. Our next RASD meeting will be on February 28 at the Brentwood Public Library.

CATS: James Clemens Reported. CATS will be offering a Cataloging Roundtable on March 29, 2012 from 9:30-Noon. The program will take place at SCLS. They will also offer a Roundtable on October 30, 2012.

SSD: Teri Hatred reported that SSD will be presenting a Roundtable on March 28, 2012 at Brentwood Public Library.

YASD: Jamie Papandrea submitted a written report. YASD is holding the Annual Joint Suffolk/Nassau Meeting on February 17, 2012 at the South Huntington Public Library. We are excited to welcome bestselling author Gayle Forman, who will speak about writing for youth and Young Adult literature. As of February 16, we have 80 individuals registered for this meeting. I look forward to providing the Board with a full report of the event at the March SCLA Executive Board meeting. The Next YASD meeting will be on March 15, 2012 at the Smithtown Public Library – Commack Branch. The program, “Active Listening,” will feature a speaker from EAP.

COMMITTEE REPORTS:

ANNUAL DINNER: Brian Schwartz reported that the committee has set the date, November 16, 2012 (6:30-10:30 PM). The Irish Coffee Pub will again be the location. The cost will increase $2 per registration.

ARCHIVES: Beth Gates reported that the archives are up to date.

CIVIL SERVICE: Joanne Genovese reported. Our workshop, “How to fill out a Training & Experience Exam” held on February 15, 2012 at the Brentwood Public Library was a huge success. Cheryl Caniano, Personnel Analyst from Suffolk County Civil Service and Peter Ward, Director of the Lindenhurst Public Library presented. We had 74 attendees from Amagansett to Merrick. Initial feedback was that it was very helpful and fostered professional and career development. Afterward, Peter, Celia Vollmer, Cheryl and I met to discuss other workshop and training ideas.

COMMUNITY SERVICE: No Report.

CONTINUING EDUCATION: Teri Hatred reported that she contacted the State to have SSD approved to issue continuing education credits. Expressed an interest in centralizing professional development hours for a database of SCLA programs and asked that she is sent a copy of attendance sheets from programs. Lisa Kropp suggested that we try this as a “pilot” program.

ELSA: Min Liu reported that the brochure is ready to be printed (will submit it to Marsha) and it is available on the website. Deadline for application is June 30th. There are 9 committee members.

I-CON: No report.

INTELLECTUAL FREEDOM: Kevin McCoy reported concerning the MPAA considering a law suit against Google because they will not block the results of “pirate” sites. Also discussed, the Anti-Counterfeiting Trade Agreement (ACTA). There is debate whether this treaty would have to be ratified by the United States Senate. The treaty will not go into effect unless ratified by at least six countries. The next meeting is on March 2nd. We will finalize this year’s Intellectual Freedom Contest. LEGISLATIVE: Samantha Alberts reported. The Bus for the trip to Albany on March 6, 2012 is full. Kevin Verbesey will again host Lobby Day 101 classes. Classes will be offered on February 28, 2012 at 10:00 AM and on March 1, 2012 at 2:00PM.

LIST-SERV: Kevin McCoy reported that membership is currently 1448. Kevin stated that he has an unofficial policy of removing people from the listserv if their emails bounce from more than one month.

LONG ISLAND LIBRARY CONFERENCE: Lisa Kropp asked Jeremy Johansson to run a NYLA membership table at the conference.

MEMBERSHIP: Michael Bogin read a report from Regina McEneaney. Regina reported that there are currently 735 active SCLA members. 436 have already renewed for 2012. Regina is emailing Division membership lists to each Division membership person. Please have each Division’s membership person e-mail me a request for the list about 1 week before the Division’s meeting and I will e-mail the list then.

NEWSLETTER: No Report.

SCHOLARSHIP: Celia Vollmer reported that she will be meeting with Angela Richards on February 28 to discuss a timeline for raffle tickets. A Kindle Fire will be offered as a prize.

SUFFOLK COUNTY JAILS LIBRARY SERVICE: No Report.

LIAISONS:

CLASC: No Report.

LILRC: Herb Biblo reported that the Legislative Breakfast will be held on September 2, 2012 at one of the branches of the Smithtown Library. He discussed funding issues and how this year’s picture is brighter due to the Governor’s commitment to continuing the current level of funding. LILRC is offering repeat sessions of technology training due to popularity. Herb asked SCLA to fund 2 LILRC annual programs. Celia discussed a $250 cap per program and made a motion for the LILRC funding which was seconded by Tom Gorman.

NCLA: No Report.

PLDA: No Report.

SCLS: Kevin Verbesey reported that the Civil Service Committee program was a success. Kevin mentioned that there were slots available on the PLDA bus to Albany. The tax levy was discussed. SCLA will offer a virtual PLA broadcast on March 15 and 16 from 10:45 AM – 6:00 PM. Check the SCLS calendar for information about an “Augmented Reality” webinar.

MEMBERS AT LARGE: Tom Gorman reported that he discussed the fund balance segregation in the Treasurer’s report with Celia Marsha Greenspan discussed giveaways at the LILC. She presented an example and provided cost estimates for mugs. Kevin Verbesey suggested that SCLS would participate in the purchase if the mugs featured the Library logo. Laura Panter submitted a written summary of the February 3, 2012 NYLA YSS Executive Board Meeting.

TREASURER’S REPORT: Celia Vollmer reported. The Fund balance as of 1/1/12 is $25,674.94 and the Income to date id $2,668.06. The bank balance as of 1/30/12 is $28,225.01. Tom Gorman will be auditing the books at the end of the month. Celia is investigating transferring the Reserve Fund balance ($15,498.27) to a higher interest earning account. There was a motion to reimburse the Civil Service Committee for the cost of refreshments for the Civil Service Workshop. A motion was made by Joanne Genovese. The motion was seconded by Marsha Greenspan.

Bills to be paid in February were presented:

OLD BUSINESS: Lisa mentioned the Relay for Life at Sachem Library on June 9 and 10.

PRESIDENT’S REPORT: President Lisa Kropp welcomed everyone to our annual “Bring a Colleague” meeting and hoped that our visitors would consider getting more involved with SCLA. She asked that if members hadn’t already done so, to take a minute to go to NYLA’s website to send an email to their legislators and assemblymen to advocate for additional state aid for public libraries.

DIVISION REPORTS:

DASL: Claudia McGivney reported that the next meeting for DASL will be on 3/9/12, and they will be discussing the LILC, where they are sponsoring two programs this year.

RASD: Steven Spataro reported that RASD will hold a meeting on 2/28/12 at Brentwood Library. The committee has finalized their giveaway item for the Long Island Library Conference, settling on mini beach balls from Janway. Upcoming meeting will be held on 3/22/12 entitled “How to Market on a Shoestring.” There April meeting will be held on 4/12/12 on Library Media Topics with discussions on downloadable music, magazines, music cd collection development, and the ongoing “rental vs. retail” DVD issues.

CATS: Min Liu reported that CATS will be sponsoring a program entitled “Cloud Computing – Seeing Through the Fog” at the Long Island Library Conference. CATS will be raffling off a Kindle at the conference, and their giveaway item will be screen wipes. A cataloging roundtable will be held on 3/29/12.

SSD: The next SSD meeting will be March 28, 2012 at Brentwood Library.

YASD: Jamie Papandrea reported that 79 members attended their joint Nassau/Suffolk meeting held at the South Huntington Public Library featuring guest speaker Gayle Forman. There next meeting will be at Commack Library on 3/15/12 with Mary Ellen Romano from EAP speaking on “Active Listening”, and the Fran Romer Memorial Book talk Workshop will be held on 4/20/12 at Brentwood Public Library.

COMMITTEE REPORTS:

ANNUAL DINNER: Celia mentioned that there is one check missing from last year’s dinner that isn’t cashed.

ARCHIVES: no report

CIVIL SERVICE: Celia reported that the workshop at Brentwood Library for tips on taking the Librarian 3 and Assistant Director/Director exams was well attended. Lisa Kropp suggested a training topic on different classifications of librarians and what it means for applicants looking for employment.

COMMUNITY SERVICE: Lisa Kropp reported that Jackie Narckiwicz emailed her to ask that SCLA consider assisting the Music and Memory workshops at SCLS by collecting old iPods to use in this program. We could post to the listserv, and have iPods and other devices sent through the system bags to Valerie Lewis at SCLS. Lisa will contact Jackie to send out and email with more details on this program to the listserv.

CONTINUING EDUCATION: Teri Hatred reported that she would be happy to try a pilot program where she would keep track of member’s continuing education and attendance at workshops and sponsored meetings for civil service purposes. Lisa Kropp will email Teri and Samantha regarding sharing a sample attendance letter that Samantha uses for SCLS meetings.

ELSA: Min Liu reported that the brochures have been distributed, and the committee will meet over the summer to select a winner.

I-CON: No report.

INTELLECTUAL FREEDOM: Kevin McCoy reported the brochure for the Intellectual Freedom contest is ready, with separate categories for print, physical art, and film.1500 will be printed. Kevin mentioned he wasn’t sure what the new printing procedures were, and Celia told him to send everything to Marsha Greenspan at Brentwood Library, as their director is allowing them to do SCLA printing in house. Kevin will also electronically distribute the brochures on library and school list-servs and social media sites. He is looking for co-sponsors to help offset the cost of the iPod prizes, and will have a budget request for the next meeting. Entries will be judged on 4/20/12 at the Selden campus of Suffolk Community College. Anyone interested in judging should contact Kevin. Kevin also reported that Newsday has not been running the current Doonesbury comic strips, and are not informing their readers that they are viewing reruns. Kevin would like to have the Intellectual Freedom Committee send a letter to the editor of Newsday telling them that this is an unfair practice to not inform the readers that the current strip was not being published. The board agreed that the Intellectual Freedom Committee could send such a letter, after discussion.

LDA AWARD: Paula Bornstein emailed Lisa Kropp that all nomination packets must be completed and mailed to Laura Hoffman, Levittown Public Library, by March 23, 2012.

LEGISLATIVE: Diane Eidelman reported that Advocacy Day was a success, and thanked Samantha Alberts for setting up another successful bus trip. Currently, there is a 3 million dollar difference between the amount of funding being suggested for libraries, so everyone was encouraged again to contact their elected officials for an increase in state aid for public libraries.

LIST-SERV: Kevin McCoy reported that membership has increased to 1558 members on the list-serv.

LONG ISLAND LIBRARY CONFERENCE: Ginger Pfeifer reported that the committee last met on 2/16/12, which was reported at our February meeting. There are currently 22 vendors, and 15 association tables reserved. Jack Gantos was signed as the speaker for the 2013 LILC. They are looking for Barnes and Nobles to possibly handle book sales this year. LILC will be hosting a food drive again this year for Island Harvest.

MEMBERSHIP: Regina McEneaney reported that there are currently 744 active SCLA members. 493 have already renewed for 2012, with Regina waiting for another 251 to renew. Reminders will go out the week of March 19, 2012 to the 251 members from 2011. In the past, 270-300 reminders went out in March, and about 70% renewed by May 1st, according to Regina.

NEWSLETTER: No Report.

NOMINATING: No Report.

SCHOLARSHIP: Celia Vollmer reported new forms are up on the website, raffle tickets have been ordered for the annual dinner, and solicitation for raffle prizes has begun.

STATISTICAL SURVEY: Rona reported that Statistical survey questionnaire will be sent out after the Long Island Library Conference in May.

STUDENT OUTREACH: Lisa Kropp reported that due to Sue Sloan now being the Director of the Locust Valley Library in Nassau County that she is no longer able to be on the student outreach committee. Lisa and Joanne will work with Brian Adams to solicit new members for this committee based on those who expressed interest in serving on student outreach when they joined SCLA. There was discussion about hosting a “meet and greet” type of event over the summer for students and recent graduates.

SUFFOLK COUNTY JAILS LIBRARY SERVICE: No Report.

WEB PAGE: Michelle Vagner reported that the blog is up to date, with the new scholarship forms posted. Michelle moved the advocacy button to the front page of the blog. Since we have now switched to a blog format, a suggestion was made to rename this committee the SCLA Blog.

LIAISONS:

CLASC: No Report.

LILRC: Herb Biblo reported on the following legislation: The Research Works Act was withdrawn by sponsor Rep. Carolyn Maloney. Elsevier withdrew its support. LILRC Board was on record opposing the bill. SOPA and PIPA are on the back burner with significant opposition. LILRC Board was on record in opposition to SOPA and PIPA. Long Island Memories – Regional Digital Archival database has 37 library participants, with 2 million “hits” in 2011. Costs for this year’s Legislative Breakfast will be limited to $1500 and the host library has been notified. The following workshops are coming up: Access to Online Legal Information on 3/23/12 at SCLS. Also, two management workshops will be hosted on: April 27, 2012, 9:30 – 3:30 p.m. at Farmingdale Public Library
May 18, 2012, 9:30 a.m. – 12 noon at Brentwood Public Library. See the LILRC website for registration details.

NCLA: Lisa Kropp reported that NCLA doesn’t have a volunteer to attend our meetings, and that SCLA was having difficulty sending someone to NCLA meetings as well. It was agreed upon that we would send a copy of our monthly meeting minutes to the NCLA President, and they would send a copy of theirs to SCLA.

PLDA: No Report.

SCLS: Diane Eidelman reported that a class will be offered on 5/14/12 entitled “Managing Electronic Resources”.

MEMBERS AT LARGE: Laura Panter reported that 217 people were registered for the NYLA/YSS conference to be held on Long Island on 3/23/12.

TREASURER’S REPORT: Celia Vollmer reported. Bills to be paid were presented – see attached. Our taxes were done. Celia stressed that each division should have a member of the division auditing the treasurer reports, as Tom Gorman does for SCLA. She reminded divisions that no cash withdrawals are allowed – instead, write a check and a receipt. Marsha Greenspan moved to pay bills. Regina McGivney seconded the motion. None were opposed.

OLD BUSINESS: Lisa Kropp reported that she, Celia, Tom, and Tracy will be meeting with Jeremy Johannsen, interim director at NYLA, and NYLA President Matthew Bollerman regarding joint membership options for SCLA and NYLA on March 22, 2012.

CALL TO ORDER: Joanne Albano called the meeting to order at 1:30 p.m. The March 16, 2012 minutes were reviewed and corrected. Joanne Albano moved to accept the minutes as corrected. Teri Hatred seconded the motion.  None were opposed.

PRESIDENT’S REPORT: President Lisa Kropp welcomed Matthew Bollerman and Jeremy Johannesen from NYLA to discuss joint SCLA/NYLA membership options.  Jeremy Johannesen introduced a proposed new membership structure whereby NYLA would create a Chapter structure for regional association membership.  Matthew Bollerman explained that this new partnership would result in SCLA having a “voice” in NYLA governance.  SCLA would have a presence on the council, legislative committee, conference planning and two program slots for the annual conference.  Lisa Kropp discussed issues concerning accounting.  Celia Vollmer discussed the advantages of utilizing the resources of NYLA to assist in financial services and alleviate concerns such as check disbursements and annual audits.

DIVISION REPORTS:

DASL:  Claudia McGivney reported that DASL met on April 13 and finalized plans for LILC

RASD:  Michael Bogin read a report from Steve Spataro. RASD is all set for the LILC.  They have giveaways and their grand prize.  The division will be taking turns staffing the table.  Nassau and Suffolk will take turns introducing the keynote speaker each year.  Steve will handle the introduction this year.  Media Librarians met on April 12.  Topics discussed included downloadable magazines, rental vs. retail copies, and categorizing music CD collections.

CATS:  No Report.

SSD:  Teri Hatred reported that SSD held a Roundtable meeting on March 28, 2012 at Brentwood Library.  The relaxed structure of the meeting encouraged participation.  Upcoming programs include Intermediate EXCEL on April 24, Advanced EXCEL on May 22, and of course, speaker Margaret Marshall, and discussing “Wellness at Work” on May 3rd at the LILC.  The Division will feature a speaker from the NY State retirement system for its Annual Meeting in October.

YASD:  Jamie Papandrea reported that the Fran Romer Memorial Book talk Workshop held on 4/20/12 at Brentwood Public Library was a success.  The Executive Board met to discuss B.E.S.T. candidate selection.  The Division will offer a prize wheel at the LILC.

CONTINUING EDUCATION: Teri Hatred reported that with the SCLA Professional Development database created, the next step is issuing official attendance sheets to all Divisions.  Attendance sheets will be created in .pdf format for the webpage.  Copies of completed sheets should be forwarded to Teri at SCLS for entry into the database.

INTELLECTUAL FREEDOM:  Kevin McCoy reported that seven winners would be selected for the Intellectual Freedom contest. Separate categories for print, physical art, and film will be judged on 4/20/12 at the Selden campus of Suffolk Community College. Celia Vollmer made a motion to appropriate $250 towards the cost of this program.  The motion was seconded by Joanne Albano.  There were none opposed.

LDA AWARD: Paula Bornstein reported that NCLA and SCLA award committee members were given nominee packets by Laura Hoffman of NCLA.  SCLA committee members are: Gus Isaksson of East Islip, Jackie Narkiewicz of Copiague, and Fred Strum of Lindenhurst.  This year’s winner is Mary Westermann of Long Island University.  The award will be presented at the LILC on May 3, 2012.

LEGISLATIVE:  Samantha Alberts reported.  NYLA advocacy was discussed.  Samantha detailed the restoration of $2.6 million funding of state aid for libraries in this year’s budget.  A survey was distributed to gauge interest in going to Albany the day before legislation day next year.

LIST-SERV:  Kevin McCoy reported that membership is currently 1478 on the list-serv.

LONG ISLAND LIBRARY CONFERENCE:   Ginger Pfeifer reported that the committee last met on 3/15/12 at the Freeport Memorial Library. There are currently 34 vendors, and 34 association tables reserved.  Printed “save the date” cards were sent out to member libraries.  The arrangements committee met with the catering manager to confirm AV needs.  The webpage continues to be updated with the latest information about programs and vendors.  Barnes and Noble will be handling the sale of Nancy Perl’s books.  Once again this year, a food drive for Island Harvest will be held.

MEMBERSHIP: Regina McEneaney reported that there are currently 763 active SCLA members.  584 have renewed for 2012, with Regina waiting for only 179 to renew.  All 2011 members who do not renew by May 1, 2012 will become inactive.

NEWSLETTER: No Report.

NOMINATING:  Joanne Albano reported that a list will be provided at the LILC table.

SCHOLARSHIP:  Celia Vollmer reported that they will be organizing a meeting at LILC during lunch.

MEMBERS AT LARGE:  Tom Gorman reported that he met with Celia Vollmer and that all the bills were in order. Laura Panter reported that YSS is looking for ways to streamline the distribution of the newsletter.  Bylaws, Minutes, and reimbursement information will be added to the webpages.  Voting for the 3 Apples Award ends on April 27, 2012.  YSS currently has 563 members.  Next year’s YSS Spring Conference will be held in Rochester on May 17, 2013.

TREASURER’S REPORT: Celia Vollmer reported.  Bills to be paid were presented. Celia met with representatives from the bank in order to update forms.  A .02 cent discrepancy was reconciled.  The completed tax returns were received from the accountants, Baldeseri and Coster.  A transfer of $15,467.83 was made from reserved funds into the savings account.  The fund balances were reviewed and as of February 29, 2012 the balance was $32,121.99.  Tom Gorman moved to pay the bills as presented. Tracy Van Dyne seconded the motion. None were opposed.

RASD: Cathi Nashak reported that RASD held a meeting on June 5th at the East Hampton Library. There was a discussion about holding a dinner at Garden Grill. Lisa Kropp will attend the August 7 meeting in order to discuss and answer questions concerning the NYLA membership proposal. A meeting focusing on Health Concerns will be held on October 17th.

CATS: James Clemens reported that 40 people attended last week’s e-Book program. They are currently working on planning fall meetings.

SSD: Teri Hatred reported that the EXCEL workshops were a success. The Division will feature a speaker from the NY State retirement system for its Annual Meeting in October.

ANNUAL DINNER: Michael Bogin read a report from Brian Schwartz. Brian will be sending out a Save the Date card over this summer for the SCLA dinner which is to be held on November 16th.

INTELLECTUAL FREEDOM: Kevin McCoy reported that there was a great turnout for the Long Island Library Conference program. Awards were presented to contest winners at a luncheon held on May 5th.

LDA AWARD: Paula Bornstein reported that the award was presented to Mary Westermann of Long Island University. There is a video of the presentation on YouTube.

LEGISLATIVE: Samantha Alberts reported. The Legislative Breakfast is scheduled for September 21st at one of the Smithtown Library branches.

LIST-SERV: Kevin McCoy reported that membership is currently 1479 on the list-serv.

LONG ISLAND LIBRARY CONFERENCE: Ginger Pfeifer reported that the registration for the conference was, 286 Nassau, 433 Suffolk, 18 onsite registrants, for a total of 737 “Superheroes.” There were 85 vendors and 300 pounds of food was collected for Island Harvest. Next year’s conference will be held on May 2, 2013.

MEMBERSHIP: Regina McEneaney reported that there are currently 627 active SCLA members. Current membership lists for the divisions have been e-mailed to the Division Presidents. There was a discussion of NYLA membership options and potential financial impacts.

SCHOLARSHIP: Celia Vollmer reported that the committee was sending a flier to solicit more applicants. Celia spoke with Claudia to appoint a new committee member.

STUDENT OUTREACH: Brian Adams reported he sent fliers to all Library Schools and posted to the Facebook pages. Lisa Kropp suggested putting information on the Suffolk list-serves.

SUFFOLK COUNTY JAILS LIBRARY SERVICE: Sister Joan Ryan is retiring at the end of June but will continue to serve until December.

LILRC: Herb Biblo reported that LILRC would like information concerning personnel changes submitted for inclusion in the Newsletter. Herb encouraged utilizing personal contacts in order to invite legislators to the breakfast on September 21st. The annual Meeting will take place at Bethpage State Park. The format has been changed to a breakfast meeting. 40 historical societies/libraries are participating in the regional digitization project. The project is focusing on Long Island History.

PLDA: No Report.

SCLS: Samantha Alberts reported. System is currently restructuring the organization and moving offices. SCLS welcomed Lisa Kropp to SCLS. Lisa will serve as the Youth Services Coordinator beginning July 2, 2012.

MEMBERS AT LARGE: Tom Gorman reported that he met with Celia Vollmer and that all the April and May bills were in order.

TREASURER’S REPORT: Celia Vollmer reported. Celia discussed the issue of publicity vs. program fee expenses for the golf fund raiser for PLDA. SCLA has traditionally funded a full page ad. Since the cost of the ad will be $500, Celia asked for a motion to override the $250 per program limit for this particular expense. Tom Gorman made the motion, Seconded by Marsha Greenspan. A vote was called, none were opposed. . The fund balances were reviewed and as of April 30, 2012 the balance was $28,958.67. The fund balance as of May 31, 2012 was $32,669.36. Bills to be paid were presented. Teri Hatred moved to pay the bills as presented. Tracy Van Dyne seconded the motion. None were opposed.

OLD BUSINESS: NYLA Membership Options. Lisa Kropp discussed how several regional Associations are in discussions with Jeremy Johannsen, exploring the prospective reorganization. NYLA has already approved the Membership arrangement, now SCLA needs a Board motion and to establish a By-Laws taskforce to explore the issue. Lisa suggested a special summer meeting in order to explore the By-Laws and expedite the process. Laura Panter, Tom Gorman, Tracy Van Dyne and Regina McEneaney volunteered to serve on a special committee. Lisa Kropp encouraged Division Presidents to invite the Executive Board to visit the summer meeting in order to provide more information. A special meeting has been scheduled for July 19th at 6:00 p.m. at Sachem Library in order to provide the membership with general information and ease any concerns.

NEW BUSINESS: Lisa Kropp announced that she would no longer be able to serve as SCLA President due to her new position at SCLS. Joanne Albano will assume the remainder of Lisa’s term as President. Tracy Van Dyne will serve as acting Vice-President.

DASL: A written report was submitted by Claudia McGivney. DASL cosponsored a workshop with the LILRC Conservation and Preservation Committee on September 20th. The workshop was well attended and focused on preserving media collections while increasing access to these materials. DASL is in the process of scheduling remaining events for the year and the annual luncheon which may include our sister organization, NCLA’s ASLD.

YASD: Jamie Papandrea reported. September, Community Program connecting youth, presented in collaboration with SCLS. No formal meeting scheduled for October. Highlighted November 10th event, “Programming Ideas for Teens.”

Divisions were responsible for the following supplies: DASL – Kitchen, RASD –Outdoors, CATS – Cleaning supplies, SSD – Bathroom, YASD – Children’s room, SCLA – Tool Kit, PLDA – Living room. Jackie Narkiewicz will find out what colors the rooms of the house are. The family is the Valgno-Montero family of Brentwood. Lisa Kropp moved to allocate $150 for the purchase of the tool basket from SCLA. Tom Gorman seconded the motion. The annual Conference will be held at Dowling College and focus on libraries of the future. There was a discussion of the LILRC equipment borrowing program. Election ballots for the 2013 SSD Board are due back from membership on October 22, 2012. Once SSD knows the color of the bathroom of the Habitat for Humanity house, they will begin soliciting donations for the basket.

YASD: Shelia Dougherty reported. Nominations have been sought; ballots are due back on October 31. YASD has been working on an application for the 2nd annual Teen Librarian Awards and are currently seeking nominations. The next scheduled meeting is set for November 15th at Smithtown Public Library.

ANNUAL DINNER: Brian Schwartz reported. Asked for input in putting together “favors” bags.

ARCHIVES: Michael Bogin reported. Beth Gates submitted a written report stating that the archives are up to date. If anyone has materials they would like to add, please send them to Beth at Rogers Memorial via the system bag.

CIVIL SERVICE: No Report.

COMMUNITY SERVICE: Jackie Narkiewicz reported. Each Division has been assigned Habitat for Humanity baskets. The baskets will be assembled and ready for display at the Annual Dinner on November 16th. 3 United States Marines will attend Annual Dinner in support of Toys for Tots program. Planning meetings will begin in January for anyone who would like to be involved with the American Cancer Society’s Sachem Relay for Life in June.

CONTINUING EDUCATION: Teri Hatred reported. A reminder to divisions that any programs with a speaker/topic furthering their member’s ability to perform their jobs would qualify for contact hours. Lisa Kropp inquired as to whether Social Security numbers are required for credit. Teri explained that Last Names are the key field for the database. Teri will find out if SSN’s are required by New York State in light of the proposed NYLA merger.

ELSA: Min Liu reported. Lori Blend (North Shore) was selected as the winner of this year’s award. Tickets for the annual dinner were distributed to all nominees for the award. A $250 gift certificate was purchased.

CLASC: No Report.

LILRC: Min Liu reported. The LILRC Annual Meeting will be held on October 25 & 26. Registration for Thursday only attendance is $45. On October 18th, “Harness the Power of Facebook” program will be held at Plainview Old Bethpage Library. Min reminded members that LILRC has equipment available for loan. Nexus 7 tablets, Samsung Galaxy tablets, iPads, Kindle tablets, etc. Information is available on the LILRC website. A motion was made by Celia Vollmer to allocate $250 for a grant writing program on November 1st. Tracy Van Dyne seconded the motion. There were none opposed.
NCLA: No Report.

PLDA: Neely McCahey reported. PLDA thanked SCLA for supporting the Golf outing. $10,000 was raised to support NY for better libraries. PLDA is looking forward to the annual dinner. The content for the Habitat Basket was discussed.

SCLS: Lisa Kropp reported. 200 attended the Civil Service information sessions. Peter Ward presented. The program was well received and well attended.

MEMBERS AT LARGE: Tom Gorman reported that he will be meeting with Celia Vollmer to review the financial reports. Joanne Albano thanked Marsha, Laura, and Tom for the work done on the By Laws review. Laura Panter reported that SCLA dinner registration forms have been distributed. Michelle posted flyer on webpage.

TREASURER’S REPORT: Celia Vollmer reported. Celia discussed the budget and how decreases reflect a decrease in staff and the economy downsize. Costs in some lines have escalated due to the NYLA merger. Divisions are managing their own budget lines. The total budget is still “in the black.” Celia reported that the finances are right on track for what was anticipated. The fund balances were reviewed and as of September 30, 2012 the balance was $26,881.52. Bills to be paid were presented. Tom Gorman moved to pay the bills as presented. Teri Hatred seconded the motion. None were opposed.

OLD BUSINESS: None.

NEW BUSINESS: None.

The meeting was adjourned at 10:48 a.m. Motion to adjourn the meeting was presented by Tracy Van Dyne. None were opposed.

CALL TO ORDER: Tracy Van Dyne called the meeting to order at 10:09 a.m. The October 12, 2012 minutes were reviewed and corrected. Marsha Greenspan moved to accept the minutes as corrected. Brian Schwartz seconded the motion. None were opposed.

PRESIDENT’S REPORT: President Joanne Albano thanked Tracy, Brian, and Michael for their service and welcomed Jackie Narkiewicz as new Vice-President. Joanne offered congratulations to Michelle Vagner on her marriage. Joanne announced that SCLA had 257 of the required 300 signatures as of the time of the meeting. Joanne was confident that the required signatures would be received.

DIVISION REPORTS:

DASL: Christina Rivera reported the Annual luncheon was held on December 13. 22 people attended. DASL finalized a speaker for the Long Island Library Conference.

RASD: Cathi Nashak reported that the committees have been busy. The Health Concerns Committee breakfast was held on October 30th. Cathi requested funding for two upcoming programs. $250 for Victor Caputo for a January program and $250 for JC Clement for a March program. Cathi Nashak made a motion to approve $500 for the payment of program providers. Joanne Albano seconded the motion. There were none opposed.

CATS: Min Liu reported the Annual Meeting was held on December 13th.

SSD: Teri Hatred reported. SSD elections were completed. The Habitat baskets were delivered. SSD has finalized plans for the Long Island Library Conference speaker – Arthur Greene from the New York State Retirement System. Meeting dates and budget have been finalized for 2013.

YASD: Jamie Papandrea reported. The November 15th meeting was cancelled. Program ideas for teens will be distributed. 40 attendees were on hand for the Annual luncheon on December 6th. YASD hosted the National Book Award winner and Jamie made a motion to have $250 reimbursed for the speaker fee. Laura Panter seconded the motion. None were opposed.

COMMITTEE REPORTS:

ANNUAL DINNER: Laura Panter reported. All went well with this year’s dinner. 129 people registered and 117 attended. Celia Vollmer commented on the savings of $1100 over the cost of the previous dinner. Laura suggested raising the limit from $2000 to $3000 in order to avoid a potential deficit. Laura thanked Marsha and Brian for their work.

ARCHIVES: Michael Bogin reported. Beth Gates submitted a written report stating that the archives are up to date. If anyone has materials they would like to add, please send them to Beth at Rogers Memorial via the system bag.

CIVIL SERVICE: No Report.

COMMUNITY SERVICE: Jackie Narkiewicz reported. Due to her election as Vice-President, Jackie will not be serving on the committee next year. Jamie Papandrea will assume the Chair.

CONTINUING EDUCATION: Teri Hatred reported. A reminder to divisions that any programs with a speaker/topic furthering their member’s ability to perform their jobs would qualify for contact hours. Lisa Kropp suggested that we make sign-up sheets available on the webpage. Teri will submit forms to Michelle Rung.

ELSA: Min Liu reported. Lori Blend (North Shore) was selected as the winner of this year’s award. ELSA is looking for a new Chair for next year.

I-CON: No Report.

INTELLECTUAL FREEDOM: No Report.

LDA AWARD: Paula Bornstein reported. The winner of the 2012 award will receive a one year membership in SCLA.

LEGISLATIVE: Samantha Alberts reported. The bus for Advocacy Day
(March 5, 2013) will cost $1550. The LILRC Legislative Committee schedules meetings with Legislators for the day. Celia Vollmer suggested paying the total amount as opposed to the deposit only in order to use remaining funds in this budget. Samantha mad a motion to pay the full cost, $1550. Lisa Kropp seconded the motion. None were opposed.

LIST-SERV: No Report.

LONG ISLAND LIBRARY CONFERENCE: Min Liu reported. 7 responses from Suffolk and 3 responses from Nassau have been received. The deadline is 4:00 PM next Tuesday.

MEMBERSHIP: Regina McEneaney reported. There are currently 640 active and 30 honorary SCLA members.

NEWSLETTER: No Report.

NOMINATING: No Report.

SCHOLARSHIP: Celia Vollmer reported. The recipient was Esther Sue Golden from Bayshore. Danielle Manvey (Sayville) was selected as the Continuing Education award recipient.

STATISTICAL SURVEY: No Report.

STUDENT OUTREACH: Brian Adams reported He is in discussion with Edina Chicanowicz to speak.

SUFFOLK COUNTY JAILS LIBRARY SERVICE: No Report.

WEB PAGE: Michelle Rung (Vagner) reported. The webpage is up to date. The statistical Survey is on the site. Storm related information has been added. Pictures have been added to Flickr. An updated list of award winners is posted on the site.

LIAISONS:

CLASC: Lisa Kropp reported. CLASC is in the process of finalizing a speaker for the Long Island Library Conference.

LILRC: Min Liu reported. The LILRC Annual Breakfast Meeting was rescheduled from November 13 and was held this past Tuesday. LILRC is looking into online computer instruction. 3 training workshops (as part of the Regional Digitization Workshops) will be listed in the catalog and on the website. Hofstra is compiling materials related to Super Storm Sandy.

NCLA: No Report.

PLDA: No Report.

SCLS: Joanne Albano thanked PLDA for the coordination and donations to the Sandy Fund. $5221 was raised. Brainfuse and EBSCO contributed.

MEMBERS AT LARGE: Tom Gorman reported that he reviewed the bills with Celia Vollmer and everything is in order. Brian Schwartz thanked everyone and shared how he enjoyed serving on the Board.

TREASURER’S REPORT: Celia Vollmer reported. Celia explained that a late charge was incurred due to her work related to Red Cross relief associated with Super Storm Sandy. The bank is going to reverse the fee. The fund balances were reviewed and as of November 30, 2012 the balance was $13,997.53. Bills to be paid were presented. Marsha Greenspan moved to pay the bills as presented. Jamie Papandrea seconded the motion. None were opposed.

OLD BUSINESS: None.

NEW BUSINESS: 2013 meeting dates were selected as follows – January 18, February 15, March 15, April 19, June 21, July 19, August 16, September 20, October 18, December 20.

The meeting was adjourned at 11:24 a.m. Motion to adjourn the meeting was presented by Tracy Van Dyne. None were opposed.

The next meeting will be Friday, January 18, 2013, at SCLS.
